Job Description

Summary

Under the supervision of the Director of the Office of University Development (OUD), the Donor Relations Head, and the Donor Relations Coordinator, Donor Relations Assistant (DRA) provides assistance in donor care, fund development, and events management.

Responsibilities

I. Donor Relations, Fund Development, and Reports

  • Assists in the general administration per assigned project, i.e. preparation of fund campaign requirements, coordination with key administrators regarding MOA signing, preparation of the turnover report and other pertinent documents such as gift cards, etc.
  • Tracks donations and maintains an updated fund balance of the assigned project.
  • Assists with the preparation of fund reports for the assigned project.
  • Assists in recommending donor relations and care initiatives for the assigned project.
  • Coordinates with University offices and external service providers for the requirements of the assigned project (e.g. gift item design, card production, etc).
  • Attends meetings, takes notes, and prepares the minutes for the approval of the Donor Relations Coordinator.
  • Prepares gift packs and ensures that they are dispatched and received within the specified time.

II. Eighteenth Jaime V Ongpin Annual Memorial Lecture in October 2019

  • Makes sure that the logistical requirements (e.g. venue, invitation cards, program guide, registration, equipment, token) for the JVO Annual Memorial Lecture on Public Service in Business and Government are met.
  • Updates the invitation list with RTS, MOs, etc.

III. Athletic Scholarship Fundraising Campaign

  • Prepares, dispatches, and follows up solicitation letters and any materials sent.
  • Prepares acknowledgement and/or thank you letters with a corresponding official receipt and other required documents

IV. Events Management

  • Prepares a checklist of things to accomplish per assigned event for the approval of the DRC
  • Assists in the logistical preparations of each assigned event (e.g. gift turnover, fund launch, testimonial, groundbreaking, blessing, inauguration, thanksgiving, anniversary, lecture/workshop, etc.) which includes venue and menu recommendation and booking.
  • When required, prepares financial projection and expense report of the assigned event.
  • Prepares feature write-up and photo captions for media release for each assigned event.

V. Others

  • Provides administrative support, when necessary.
  • Performs other tasks that may be assigned by the OUD Director from time to time.

Minimum Qualifications

  • Bachelor’s degree in any business course is preferred
  • Two (2) to three (3) years of experience in donor relations preferably with knowledge in handling events, communications, and PR.
  • Proficient in MS office applications, at least Word, Excel, and PowerPoint
  • High level of interpersonal skills with the ability to handle all levels of external and internal clients
  • Detail-oriented
  • Ability to work with multiple deadlines under minimal supervision
  • Can prioritize work, multi-task, and work well under pressure
