Job Description

Summary of Work Activities and Responsibilities:

Under the supervision of the Director, the Office Assistant IV performs administrative and logistical support functions related to projects led by the Ateneo Center for Social Entrepreneurship (ACSEnt).

Main Duties and Responsibilities:


I. Program Support

  • Serves as liaison between ACSEnt and project partners for workshops
  • Disseminates information to appropriate parties for the promotion of the project
  • Provides logistical and secretarial support to off-campus trainings and seminars as well as events including preparation of manuals and/or information kits
  • Assists in the facilitation of marketing and promotional activities for ACSEnt projects (e.g., coordinates email promotions, liaises with suppliers, sends out of marketing materials, etc.)

II. Frontline and Office Support

  • Attends to inquiries and requests from stakeholders and visitors from various communication channels (e.g. face to face, online, phone, email)
  • Receives, files, and safeguards Office records, mails, facsimile messages, MOA program proposals and other communication materials
    • Records and monitorsincoming/outgoing documents pertinent to office operations and activities.
  • Prepares materials and other documents for meetings, conferences and seminars.
  • Handles meeting room and conference room reservations and logistical requirements
  • Monitors the center’s compliance with all deadlines and requirements of the Loyola Schools, CHED and PAASCU accreditation processes.
  • Assists in documenting proceedings of seminars, meetings and trainings
  • Maintains cleanliness and physical upkeep of office and ACSEnt facilities

III. Fiscal Support

  • Compiles and submits liquidation reports from expenses incurred by workshop participants, transportation and accommodation
  • Monitors and collects payments from clients (e.g., registration fees for seminars and trainings)
  • Assists in encoding and monitoring of expenditures such as status of OCs, petty cash, and other related expenses.
  • Assists in the preparation of order for checks, purchase requisitions, liquidation reports, reimbursements/petty cash, turn-over report (cash/check deposit)
  • Keeps an inventory of the center’s supplies, materials and equipment, initiates requisitions as necessary.

IV. Performs other work- related tasks as may be required by the Immediate Supervisor and authorized representative.

  • Communication Skills: Ability to communicate tactfully and sensitively with all types of personalities and predispositions, utilizing different media directed at different audiences/stakeholders
  • Coordination Skills: Ability to proactively coordinate, mediate, and manage actions in relation to others
  • Organization and Prioritization of Work: Ability to effectively plan and coordinate the delivery of multiple required outcomes, according to importance and urgency; keen to details
  • Service Orientation: Actively looking for ways to help people; Ability to relate with the client, well-pleasing, warm, patient, and respectful in dealing with people
  • Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks; comfortable with exploring new technologies
  • Process Management: Ability to oversee, implement, and evaluate a work process; has the capacity to recommend improvements
  • Graphic Design Skills: Ability to design basic promotional materials
  • People Management Skills: Ability to lead and guide a team in achieving set goals

Education and Experience Requirements:

  • Bachelor’s degree holder
  • With at least 3 years of relevant work experience
  • Familiarity with the Ateneo academic processes and practices, is an advantage
