Job Description

Duties and Responsibilities:

Production:

  • Reporting directly to Floor plan Manager.
  • Assuming the role of the Assistant Manager when needed.
  • Assigning of jobs to the team using Jobtrack and reporting to managers appointments with concerns for proper coordination and follow-up.
  • Assisting of managers in checking all jobs are accomplished and all jobs are uploaded in the system, ensuring all are covered by the end of the shift.
  • Scoring of floor plan job sheets for performance recording and evaluation.
  • Assisting in the quality control of all floor plan products within the required turnaround time.
  • Assisting in job follow-ups with late or incomplete uploads via telephone and/or e-mail after the cut-off time.
  • Assisting managers in monitoring reports for team performance & evaluation:
    • Floor plan editor’s Performance and Accuracy
    • Key Performance Indicator
  • Assisting Floor Plan Editors in jobs with concerns and/or cascading them to Floor plan Managers when necessary.
  • Preparing technical and other necessary reports as assigned by managers.

Management / Operations

  • Assisting in the development of work-improving processes regularly and monitoring their implementation
  • Joining managers in representing the department in management meetings along with other HOD’s to contribute to company development and other relevant concerns then later help disseminate information to team.
  • Ensuring good employee relations and providing employee coaching and development including managing employee issues through problem resolution.
  • Handling of floor plan editors’ performance measures, including bonuses and KPI and providing regular progress reports to manager.
  • Participating in floor plan and content studio- related meetings.
  • Proposing systems and procedures by analysing operating practices, record systems, forms of control, and budgetary and personnel requirements, including implementation of changes.
  • Assisting in conducting training for Quality Controllers and Editors.
  • Assisting managers in monitoring team performance including recommending staff for monthly evaluation, awarding, etc.
  • Assisting managers in the updating and encoding of the new floor plan standards and rule book.
  • Attending and co-chairing of the department and/or management meetings with Floor Plan managers when necessary.

Training

  • Assisting in special training and lectures for floor plan editors to ensure that the team is up to date with the implementation of the new product, standards, process and other technical skills.
  • Assisting in regular training and lectures for QC ’s to assist them in overlooking the floor plan production.
  • Assisting in the preparation of special training to other departments for additional knowledge pertaining to the Real Estate industry for the betterment of the overall process of the company

Communication & Liaison

  • Assisting in the regular liaison with QC Team Sydney to be up-to-date with studio standards and set department targets as necessary

HR Related

  • Assisting in recruiting new staff.
  • Maintaining quality service by establishing and enforcing organisation standards.
  • Accomplishing employee results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counselling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
  • Serving violations and sanction required by the company
  • Assisting in arranging and managing the budget for departmental activities to maintain a stimulating environment and promote camaraderie with the department.

Others

  • Carrying out any other work-related tasks deemed necessary by Department Manager.

Minimum Qualifications

Requirements:

  • Must be a licensed Architect or equivalent, with minimum 1-2 years supervisory experience;
  • Must have a good track record and role model qualities, without any disciplinary warnings within 1-year review period
  • Must have good knowledge of AutoCAD software.
  • Must have good knowledge of 3Ds max software.
  • Must have good knowledge of Photoshop.
  • Excellent communication skills, both written and verbal
  • Excellent architectural knowledge and strong attention to detail and problem-solving skills
  • Must have good presentation skills with knowledge in using documentation-related applications such as Powerpoint, Word, Excel, etc.
  • Must have the ability to prepare reports and other documentation for operations purposes.
  • Must be willing to be trained and carry out instructions but must also have leadership potential.
