Job Description

Housekeeping / Manpower Management

  • Supervise and Manage schedule roster, tasks, end results, and timeline on a daily basis
  • Monitor and Daily Time Record submission to Manpower agency on a timely basis
  • Monitor housekeeper payroll and government contributions twice a month

Office Supplies, Inventory and Disposal

  • Maintaining office records and documentations (Weekly, Monthly, Quarterly Report)
  • Prepare requisitions, orders and payment request
  • Weekly monitoring of office supplies and equipment inventory (Office, Pantry, Kitchen, Toiletries, Medicine, Chairs, Printers, TV, IT Hardware, Software, Peripherals)
  • Weekly check of office equipment (In-use, broken, for replacement, for repair)
  • Track and record orders, receive orders, and document arrivals
  • Ensure all released equipment and supplies has a receiving copy
  • Submit an updated monitoring report with Timeliness, Accuracy, Completeness and Traceability

Office Management, Safety and Security, Facilities and Preventive Maintenance

  • Coordinate office activities, operations to management (Operations Manager)
  • Iriz and Belvedere Conference Rooms Calendar Schedule and booking
  • Office equipment Preventive maintenance reporting, escalation, and resolution, schedule and status (Aircon, Pest Control, Carpet, Biometrics, CCTV, electrical and internet connections)
  • Address employee concerns, issues, complaints and provide solutions
  • On-boarding employees arrange admin needs (i.e office supplies, chairs, internet connections)
  • Maintaining office records and documentations
  • Ensure fire extinguishers are in place and not expired
  • Lead fire and earthquake drill
  • Take a lead in giving information to employees about Basic Occupational

Safety and Health

  • Take a lead in guiding the employees where to go in cases of emergencies and disasters
  • Ensure emergency lights are working properly
  • Facility check on a daily basis (Aircon, Exit doors, Electrical and Servers, elevators, conference rooms, TV’s, kitchen equipment)
  • Ensure keys are available when needed
  • Contributes to team effort by accomplishing related results as needed
  • Other admin tasks that may be assigned from time to time

Purchasing

  • Take purchase requests from Admin Department or per client requests
  • Get price quotes/proposal from suppliers
  • Contacting suppliers to schedule deliveries or to discuss shortages or missed deliveries
  • Discovering profitable suppliers and negotiating to secure advantageous terms
  • Finalize purchase details of orders and deliveries
  • Estimate and establish cost parameters and budgets for purchases
  • Create and maintain good relationships with vendors/suppliers
  • Make professional decisions in a fast-paced environment
  • Maintain records of purchases, pricing, and other important data
  • Ensure that the products and supplies are high quality
  • Determine the lowest cost for products or materials
  • Review and analyse all vendors/suppliers, supply, and price options
  • Develop plans for purchasing equipment, services, and supplies
  • Negotiate contracts and costs
  • Maintain and update the list of suppliers and their qualifications, delivery
  • times, and potential future development
  • Maintain suppliers contact list
  • Accredit suppliers and providers by getting their latest Business Permits, BIR 2303, Sample Office Receipts, SEC/ DTI Registration, GIS and Financial Statement
  • Submit an updated monitoring report with TACT and within the TAT.
  • Contributes to team effort by accomplishing related results as needed
  • Other tasks that may be assigned from time to time.
  • Events Planning
  • Arrange food, schedule, setup and assist HR in logistics (Monthly Birthday, CSR Activity, Company Outing, Team Lead / Round Table Meeting, Anniversaries, Client requests, Admin / HR Monthly Awareness Program, Employee incentives arrangement, and hampers)
  • Any other assistance that may be needed from time to time

Client Visits / Services

  • Arrange and monitoring of car pick up and drop off (Hotels and Airport)
  • Welcome gifts preparation
  • Make sure clients are well taken care of while inside the premises (Assist in ordering meals, team lunch, and restaurant bookings)
  • Other Special Projects

Government Compliance (Business Permit application and updating)

OSH Training and First Aid Training (Good to have)

Minimum Qualifications

  • Problem-solving skills
  • Must be organized, accurate, thorough and able to monitor work for quality
  • Must be dependable
  • Must be able to communicate clearly, both written and orally
  • Must be able to monitor work for quality
  • Must be able to follow instructions and respond to management direction
  • Must be able to send reports with Timeliness, Accuracy, Completeness and Traceability (TACT)
