Job Description
Responsibilities and main tasks:
Office Management:
- Manage the ordering of all office, Stationery, Catering Supplies, IT equipment, and other office supplies
- Organizing the office layout and ordering stationery and equipment
- Keep stock of office supplies and place orders when necessary
- Manage contract and price negotiations with office vendors and services (suppliers and service providers, office lease, building infrastructure, general facilities, …)
- Maintaining the office condition and arranging necessary repairs
- Organising maintenance work to ensure cleanliness and order in company premises including but not limited to work areas, common areas, conference rooms, offices, pantry area, and bathrooms
- Track the inventory of office supplies
Administrative Support:
- Provides general support and administrative services
- Supply management and monitoring,
- Handle suppliers invoices and ensure payment in coordination with the Finance department in Headquarters of Operations
- Organise office operations (transport, coordinating domestic and international travel, including flight, hotel, etc)
- Collaborate with our IT department on all office equipment and security related items
Events Management (Internal):
Participate actively in the planning and execution of company events in coordination with the HR department.
- Select providers and negotiate financial conditions
- Handle annual dedicated budget
Minimum Qualifications
Required skills and experience:
- At least 3 years of relevant working experience in a similar position. Former Office Administrator applicants would be a plus
- A big can-do-anything attitude with a track record of solid task-oriented duties
- Excellent time management, organizational, planning.
- Driven and motivated with a strong work ethic.
