Job Description
DUTIES AND RESPONSIBILITIES
- Completes the following general clerical & administrative support, including:
- Handles telephone messages
- Screens telephone calls and visitors for the IEP Office in order to manage messages and access to the IEP Manager
- Greets students, parents and other visitors who come to IEP Office
- Types, duplicates, distributes, receives, translates and files general and confidential documents, mails/messages and information to provide accurate, neat and complete documents to the IEP Office
- Independently organizes, maintains and keep important record files
- Collects and submits the report of IEP activities including National Certificate
- Maintains office equipment
- Inventories and orders office supplies
- Manages petty cash
- Arranges regular meetings, prepares and distributes Minutes of Meeting and ensures the follow up actions; coordinates with other departments for accommodation, transportation, and other equipment needed
- Arranges appointment between IEP Manager and parents, Government offices, and other JIS employees
- Prepares and files all documents related to the School’s documents, Accreditation, National Examination, student data and government documentation
- Coordinates with external/internal parties under the IEP Manager’s instruction for confirmation, information collection, event organization or response
- Coordinates with IT team and Government officers in organizing the required School and National Examination
- Under the IEP Manager’s instruction, represents JIS, if needed, to external/government meeting, invitation and training
- Performs other related duties and assuming other responsibilities as assigned by the IEP Manager

Minimum Qualifications
QUALIFICATIONS AND EXPERIENCES
- Bachelor’s Degree holder preferably in Education, Communication, Hospitality or Secretarial
- Minimum 5 years experiences in Education or Hospitality field and minimum 2 years experiences in SPK schools. Having experiences in facing National Accreditation is an added value
- Demonstrated experience with government relation and familiar with Indonesian Education Regulations, National Examination, National Certificate, Dapodik, Education documentation and Government organization structure
- Demonstrated fluency in written and spoken English
- Demonstrated experience using Microsoft Office (Word, Excel and Power Point), Windows and Macintosh Computer
- Knowledge of Modern Office Practices and Procedures, including filing systems and telephone techniques, letter and report writing and office machines
- Outstanding personal communication skills
- Helpful, cooperative, eager to communicate and problem-solver
- Helps maintain a positive and friendly working atmosphere with others
- Willing to work over time if needed

About Jakarta Intercultural School
With five original students, Jakarta Intercultural School was founded by UN workers in 1951. These pioneers introduced relevant schooling in English for children of expats in the newfound Republic of Indonesia. From early days the school's international identity was clear. It was originally named the Joint Embassy School (J.E.S.) after its British, American, Australian and (then) Yugoslavian embassy partners. Just over a decade later, in 1978, J.E.S. became Jakarta International School and in 2014, Jakarta Intercultural School.
