Job Description

The Team Leader (Front Desk Officer) will be responsible for manning the reception areas of the main office and providing customer service to the employees and guests of the office

Duties and Responsibilities:

  • Greets employees, customers and guests as they enter and exit their respective areas in a professional manner
  • Attends to inquiries of employees, customers and guests
  • Efficiently responds to telephone inquiries, both from internal and external callers, ensuring that calls are re-directed if necessary, and responds to inquiries in a polite manner
  • Ensures prompt and accurate distribution of mails/documents to the relevant units and maintain a logbook of all visitors and documents received
  • Manages reservations of the conference/meeting rooms at their respective areas which include, but shall not be limited to, blocking off schedules for booked areas and, if needed, politely inform people to leave if they have no reservations or if their booked schedule has lapsed
  • Practice good customer service at all times
  • Ensure that their respective areas are clean and orderly and that the office equipment in their respective areas are working and being properly maintained (n case their respective areas are untidy, they should immediately call the attention of the maintenance services provider of the office)
  • Liaises with security staff to ensure adequate security checks are carried out in the office premises and other relevant areas of responsibility
  • Assists in the evacuation of staff and visitors during emergencies such as fires, earthquake, etc. and performs such other duties and responsibilities that may be reasonably necessary for the performance of their functions
  • Prepares daily reports regarding the status of the areas to which they are currently assigned

Minimum Qualifications

  • Education : Graduate of any 4-year course
  • Experience : has at least 1 year experience as a receptionist (preferably in a hotel or similar)
  • Qualifications:
    • Female
    • Pleasing personality
    • Preferably at least 5”4’ in height
    • Very good communication skills, both English and Filipino
    • Proficient in MS Office applications
    • Willing to work from 8:00AM to 5:00PM and to extend working hours as needed
