Job Description
- Provides administrative and/or operational support to various activities of the group/division, by coordinating with other groups/divisions and operating units for the resolution of day-to-day administrative and operational problems.
- Together with the BM, assists and participates in making administrative decisions BY USING DISCRETION, based on existing operating guidelines to address various operating issues.
- Assists the group/division in problem solving, project planning, and development and execution of stated goals and objectives.
- Assists the BM in preparing the materials and distributing the agendas and/or minutes during presentations and meetings.
- Prepares or assists in the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting (market research), as specifically directed by the BM.
- Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for the BM, which may include coordinating travel and lodging arrangements and possibly planning division conferences, international visitors’ itinerary, and seminars.
- Creates, monitors and reconciles internal group/division purchase orders and expense reports; also manages petty cash disbursements and reconciliation.
- Performs administrative functions such as answering phone inquiries and assisting visitors/clients.
- Keeps/files official Group/Division/BM’s documents, files, and records – some of which are confidential.
- Establishes, maintains, and updates files, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports, such as total group sales reports and purchasing or other requisition documents.
Minimum Qualifications
- Candidate must possess at least a Bachelor’s Degree in Business Studies/Administration/Management, Marketing, Advertising/Media, or any business-related course.
- Preferably with work experience in sales and marketing - preparing reports, handling sales and inventory, events coordination, advertising and promotions.
- Must have excellent communication and interpersonal skills.
- Must be assertive, confident and dynamic.
- Must be computer literate.
- Fresh graduates are considered.
- Strong analytical and planning skills;
- Excellent problem-solving skills;
