Job Description

General Responsibilities

  • Responsible for the timely collection of all dues and assessments; the over-all upkeep and maintenance of the property or project; and the security, safety, and well-being of the occupants of the property.
  • Gives the property owners or the condominium association, the full benefit of his advice, experience and expertise as a property manager and undertakes the administration of the property using best efforts to ensure that the property’s investment value is enhanced; that it operates at its optimum efficiency; that a safe, orderly, clean and comfortable environment is attained for the benefit of the owners and occupants; and ensures that all provisions in the management contract between Servika and the property owner or the condominium association are complied with.

Specific Duties

  • Administrative
    • Carries out a physical inspection of the property or project on a regular basis so as to ensure that objectives and prescribed standards are attained.
    • Prepares and implements labor, materials, and utilities cost control program to achieve savings with particular attention to electricity and water.
    • Calls and evaluates tenders for the sale or disposal of any asset / equipment which is no longer utilized by the property (with the clearance / approval of the property owner).
    • Carries out purchasing functions, ensuring that the property owner/s or condominium association shall have the most favorable price, terms and conditions. Whenever necessary, at least three price quotations shall be secured for comparative purposes.
    • Ensures that the house rules and regulations as well as other policies are strictly implemented or enforced; and provides relevant training and information campaigns as needed.
    • Maintains an up-to-date ownership and occupancy roll program.
    • Maintains a registry of move-ins and move-outs and supervises these tasks and orients new residents and their household staff on the policies, rules and regulations implemented and in effect in the property.
    • Attends the regular and any special meetings of the Board of Directors or property owner/s and accordingly, submits and makes a report on the operations and other matters concerning the management of the property.
    • Assists the President and/or the Board of Directors of the condominium association in regards to the holding of the annual membership meeting.
    • Establishes and maintains a uniform operational and financial reporting procedure which may be on a monthly, quarterly and annual basis.
    • Appoints and controls, with the prior approval of the property owner/s -- consultants, advisers and contractors that may be necessary for the proper and effective implementation and management of an approved project.
    • Assists the property owner/s, when requested, in soliciting and evaluation of proposals for the insurance of the property.
    • Performs all other duties that may be assigned from time to time by the property owner or condominium association.
  • Financial
    • Collects all dues and other assessments from the condominium unit owners or their tenants and implements the measures approved by the Board of Directors, to ensure the prompt payment and avoid or minimize the delinquencies in payments.
    • Prepares the annual operating and capital expense budgets, cash flow and other management accounting reports.
    • Submits a report on the analysis and comparison of actual and budgeted expenses including extraordinary or unbudgeted items, irregularities as well as other relevant aspects of financial management.
    • Advises the association’s Board of Directors whenever there is an insufficiency of operating funds which requires the adjustment of dues. On the other hand, should there be surplus funds, conducts a survey among banks on the best interest rates for long term deposit instruments (as may be directed by the Treasurer or the President of the condominium association) where such funds can be deposited.
    • Ensures that the property accountant maintains the proper records of all transactions and reports these to the property owner or condominium association, in a clear and uniform manner, which may be on a daily, monthly, quarterly or annual basis. These reports include but are not limited to the following:
      • Cash Position
      • Schedule of Accounts Receivable with Comments on Status and Action Taken
      • Schedule of Accounts Payable
      • Monthly Financial Report
      • Monthly Variance Report with Comments on Financial Highlights
      • Statement of Capital Expenditures
      • Annual Budget Forecast
  • Engineering
    • Ensures that the property and related appurtenances are maintained to the highest standards.
    • Implements a schedule of preventive maintenance program for the building and equipment in coordination with Servika; ensures that the maintenance program for each equipment is executed as per maintenance schedule in order to minimize or avoid cases of equipment downtime.
    • Effects minor maintenance and repairs including emergency repairs.
    • Supervises and coordinates with suppliers and contractors on all maintenance works such as those on elevators and generators; conducts regular reviews on the contractors’ effectiveness and efficiency in carrying out the provisions of their contracts with the property owner or condominium association.
    • Maintains records of and gives prompt attention to complaints and requests of the condominium unit owners, tenants and/or residents.
  • Administration of Regular Sub-contracted Services (Security, Janitorial, Pest Control)
    • Ensures that the contractors for building services such as security, janitorial, pest control, etc. are faithfully complying with the provisions of their respective contracts with the property owner or condominium association; makes any recommendation that may be necessary to improve the contractors’ effectiveness and efficiency and/or the termination of their contracts if necessary.
    • Informs the property owner or condominium association in advance of expiring service contracts; upon instructions, solicits at least three proposals and together with the proposal of the existing contractor, presents these to the property owners or condominium association for their disposition.
  • Security and Safety
    • Ensures that the safety and security standards of the property are maintained at all times by implementing a security, safety and emergency management

Minimum Qualifications

  • Strong analytical and planning skills;
  • Good communication and presentation skills;
  • Excellent problem-solving skills;
  • At least 2 Years hands-on experience in managing high-rise residential condominiums
