Job Description
The jobholder contributes to the growth and profitability of Stradcom Corporation by handling all the secretarial and administrative duties required to support the Office of the Treasurer and FVP for Finance and Finance Managers. She is expected to follow-through the desired results of communications/instructions to and from the Office of the Treasurer and FVP for Finance and Finance Managers with the different departments/divisions and other outside entities.
DUTIES AND RESPONSIBILITIES
Activity Management
- Manages and coordinates the daily/weekly/monthly appointments, engagements and travels of the Treasurer and FVP for Finance (in the absence of Executive Secretary);
- Provides the required logistics for meetings and special assignments of the Division;
- Coordinates schedule of meetings with concerned departments/divisions or outside entities;
Communications
- Records & disseminates incoming and outgoing letters and documents for the Office of the Treasurer & FVP for Finance and Finance Managers;
- Ensures recording and transmittal of external communication (i.e. outside the Company);
- Photocopies documents and disseminates it to its intended recipients;
- Prepares the following for the Division:
- Routine correspondences and letters as requested;
- Cash advance & expense report;
- Notice of meeting;
- Request for payment;
- Purchase requisition/capital expenditure request; and,
- Keeps confidentiality of oral and written communication heard or read that are sensitive in nature
Records & Office Supplies
- Organizes an effective filing system that will allow easy retrieval of all files, correspondences and documents; and,
- Monitors and controls office supplies needed by the Division.
Others
- Acts as one of the representatives of the Division in the Company’s General Housekeeping Project; and,
- Performs other job-related tasks that may be assigned by her superiors from time to time.
Minimum Qualifications
- Graduate of a 4-year course in a finance/accounting field
- Preferably with 1 year experience in Accounting/Finance
- Oral & written communication skills
- Interpersonal skills
- Computer literate (MS Word /Excel / PowerPoint)
