Job Description
- Arranges, updates and monitors active calendar.
- Coordinates closely with all concerned to ensure proper adherence to scheduled meetings/events/personal and business-related travel engagements.
- Arranges internal and external meetings.
- Sets appointments, and gives reminders and notices regarding the same. Provides logistic requirements as needed.
- Acts as the overall head/coordinator for all events, activities and programs spearheaded or sponsored by the Executive.
- Makes/receives calls, and takes messages on behalf of the Executive. Handles and responds to calls professionally.
- Prepares confidential and non-confidential correspondences for the Executive.
- Handles all domestic and international travel requirements of the Executive.
- Welcomes, accommodates inquiries and attends to various needs of guests and other external parties of the Executive.
- Ensures proper and safe transportation arrangements are provided all the time.
- Coordinates closely with executives drivers on scheduled trips and approved itineraries.
- Monitors office supplies. Handles orders of office supplies as needed.
- Ensures that all relevant databases and documents are always updated and properly organized.
Minimum Qualifications
- Graduate of any 4-year course, preferably Communication-related courses (Comm. Arts, Mass Com) or Office Administration/Management
- At least 1 year experience as Executive Assistant for Top Executive
- Preferably with training in Business Writing or Customer Service
