1. Coordinate with team to identify staffing needs and determine selection criteria 
2. Manage and implement end-to-end recruitment process (including but not limited to job posting, HR Interview Technical Test, User Interview, Offering, Psychotest, Referencee &amp; Background Checking, Create contract for new employee, and onboarding process) 
3. Design, develop, and implement internal HR policies aligned with company’s objectives and requirements 
4. Employee orientation, ensuring that the new employees are educated with the process, HR procedures and Company Policies 
5. Monitors Human Resources Information Data (Recruitment) by maintenance of every departments or team’s manpower line-ups (per dept/team), or divisions structure 
6. Conduct performance management for all employees by using KPI to evaluate employee performance for effectiveness and efficiency in accordance to the company’s objectives.

Role and Opportunity

Our client provides temporary labour services to the Agricultural Industry. 

Purpose

Here are your daily tasks, as an Admin-HR Support:

Lodging Recruitment Plans

<ul>
	<li> Submit recruitment plans to the government agency for every worker coming to Australia </li>
	<li>Includes roles specifics, payment, accommodation, transport, etc.</li>
	<li>Each plan needs a specific OOE confirming contract arrangements</li>
	<li>Lodge plans onto the client's online platform</li>
	<li>Address and action all feedback in a timely manner</li>
</ul>

Variation Management

<ul>
	<li>Lodge variations with the government agency when circumstances changes</li>
	<li>Every Recruitment Plan change mush have an approved variation</li>
	<li>Action business requests, draft change requests, and submit to the government agency</li>
	<li>Forward approved variations to managers from workers to sign and update worker list</li>
	<li>Chase pending signed forms weekly</li>
</ul>

Accommodation

<ul>
	<li>Managers send detailed emails with labelled photos for upload to the platform</li>
	<li>Managers provide supplementary forms with photos for platform accommodation process</li>
	<li>Save all documents in designated folder for future audits</li>
	<li>Rental increases require owner justification and must be saved in folder</li>
	<li>Answer all accommodation fedeback promptly</li>
</ul>

Arrival reports

<ul>
	<li>Submit arrival reports to the government agency for every arriving worker</li>
	<li>Keep tracker up to date</li>
</ul>

Departure reports

<ul>
	<li>Manage the departing workers from the Worker List.</li>
	<li>By submitting departure reports with required documentation including flight invoice, itinerary, and superannuation payment export</li>
	<li>Submit reports within the required timeframe as per the guidelines</li>
	<li>Keep the tracker up to date</li>
</ul>

Private Transport

<ul>
	<li>Workers to sign “worker arranges private transport form”</li>
	<li>Add to variation tracker for those workers to remember to chase up signed forms</li>
	<li>Submit inquiry in the client's online platform attaching signed form</li>
	<li>Save signed forms in the RP, variation folder</li>
	<li>Accommodation change/ rent increase</li>
	<li>Workers fill in and sign “Accommodation Change” form</li>
	<li>Add to variation tracker for those workers to remember to chase up signed forms</li>
	<li>Save signed forms in the RP, variation folder</li>
	<li>No need to lodge in the client's online platform, the signed forms</li>
</ul>

Recruitment Process

<ul>
	<li>Once Recruitment Plan is approved the worker selection begins.</li>
	<li>Work with managers on worker list.</li>
	<li>Once worker list is approved with manager, send to Labour Sending Unit (LSU) / Agent to upload workers into IRD</li>
	<li>Create individual OOE and upload to IRD for workers to sign and allocate the placements</li>
</ul>

Assist the HR Administrator in the Visa Process

<ul>
	<li>Create flight manifest and add workers to the worker list in SharePoint Activity 12</li>
	<li>Complete VEVO check for returning workers</li>
	<li>Download all documents from IRD and save in RP worker folder</li>
	<li>Update worker list SFP column confirming signed LOO</li>
	<li>Complete visa in the relevant government agency's portal</li>
	<li>Once submitted, send receipt to designed personnel with RP number, save in RP folder, and log Activity 1 (visa applied) in SharePoint </li>
	<li>Once approved, save visa grant letter in RP folder and log Activity 2 (visa granted) in SharePoint</li>
