The Onboarding Specialist is responsible for creating a positive and seamless experience for new hires from pre-boarding to post-orientation. This role ensures all necessary administrative, logistical, and cultural elements of onboarding are in place to enable new employees to feel welcomed, informed, and equipped for success in their roles. The ideal candidate is organized, people-oriented, and committed to building an exceptional employee experience from day one.
Responsibilities:
Learning and Development
- Coordinates the implementation of approved training with training providers and participants.
- Implements approved training programs within budget and schedule; and monitors actual training expenses and prepares related reports.
- Prepares training logistics (venue, catering arrangements, training materials, certificates, payments, etc.) and ensures smooth flow of in-house training programs.
- Evaluates training programs, communicates training feedback, and makes follow through as needed.
- Keeps training records complete and up to date (training request forms, feedback forms, and training certificates).
- Updates the list of Accredited Facilitators/Training providers as needed.
- Submits training related reports within schedule (HR Metrics, Year End Reports, other training related reports).
- Assists in the design and preparation of internal training modules.
Onboarding
- Coordinate with recruiters to ensure smooth handoff post-offer acceptance.
- Ensure completion of pre-employment document and onboarding checklist
- Send welcome emails, pre-employment requirements, and orientation schedules
- Prepare onboarding materials, tools of trade and kits (ID, equipment, access credentials, etc.).
- Conduct or coordinate new hire orientaton sessions that cover company culture, policies, systems, and tools
- Coordinate with managers to track completion of onboarding milestones and role-specific training.
- Monitor new hire progress and engagement in the first 30, 60, 90 days, and 180 days
Other Related Tasks
- Complies with company policies and procedures, safety rules and practices.
- Conforms to the company’s Integrated Management Systems, policies, standards, procedures and guidelines.
- Reports any Integrated Management System events/incidents or potential events or other risks to the organization.
- Protects information assets from unauthorized access, disclosure, modification, destruction or interference by:
- Ensuring the confidentiality of all data, information and other matters which are private, sensitive or confidential in nature or the exposure of which to other employees, persons, entities or organizations constitutes conflict of interest with and/or poses liability or damage to the Company.
- Performs any other related duties and responsibilities that may be assigned from time to time by immediate superior consistent with the purpose of this role.
Minimum Qualifications
- Must be a Bachelor's Degree Holder
- With at least two (2) years related experience
- Should have good interpersonal and communication skills.
- Proficient in Microsoft Word, Excel and PowerPoint Presentation
