Job Description
A Main Duties and Responsibilities
I Scholarship Application and Registration
- Serves as frontline staff of the Scholarship Section of the OAA, attending to and screening scholars and visitors
- Handles scholarship inquiries when the Scholarship Officers are not available
- Checks the Scholarship Application Forms of scholarship applicants and Scholarship Update Forms of current scholars
- Encodes scholarship requests of applicants in the InternalACET
- Follows up incomplete requirements from scholarship applicants
- Assists in the registration, enlistment, and enrollment of scholars every semester
- Provides administrative and logistical support for Registration Assistants
II Information and Data Management
- Collects, sorts, and routes various letters, correspondences, records and other related matters for distribution to persons concerned in various units.
- Encodes data in the OAA database of scholars and benefactors
- Posts routine scholarship announcements (closing of the office, food stub concerns, etc.) on the ADMU Scholars Facebook group
III. Scholarship Budget Support
- Assists in preparing the OAA Scholarship budget by gathering and organizing pertinent financial data.

Monitors the OAA Scholarship accounts, monitoring scholarship expenses and disbursements, ensuring that it is within approved budget, and preparing the necessary budget transfers, realignments, and account reclassifications.

Processes reimbursement and liquidation reports, invoices, expense reports, and purchase orders, etc.
IV. Stakeholder Management
- Attends to the needs of scholars by processing the following benefits/services
- Ensures timely encoding of service hours rendered by scholars in different Ateneo offices
- Endorses scholars-at-risk and scholars with special needs to the Scholarship Officer assigned to the scholar’s year level
- Donation Processing
- Benefactor Care
V. Scholarship-Related Events
- Assists the Scholarship Officers in the preparation for the following events
B. Other Duties and Responsibilities
- Assists in various admission-related activities and events
- Assists in various DOST-related processes and activities
- Performs other work-related responsibilities that may be duly assigned by the immediate supervisor
Minimum Qualifications
Knowledge, Skills and Abilities:
- Budgeting and Monitoring
- Familiarity with budgeting software and toolsAverage oral and written communication skills
- Trustworthy; can handle confidential information
- Pleasing warm personality; patient & respectful in dealing with people
- With ability to handle more than one task at a time
- Attention to details
Education and Experience Requirements:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field (or equivalent work experience).
- Proven experience in budget tracking and administrative support roles.
- Strong proficiency in Microsoft Excel and financial software (e.g., QuickBooks).
- Excellent organizational and time management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and accuracy.
- Effective written and verbal communication skills.
- Ability to work independently and collaboratively within a team
