Summary of Work Activities and Responsibilities
The Research Grants Division Officer plays a pivotal role in supporting the efficient and effective management of research grants processes within the institution. Reporting directly to and working closely with the Division Head, this position involves coordinating various aspects of grant-related operations, ensuring seamless communication, and contributing to the overall success of research initiatives by assisting in the management of grant applications, tracking activities, and maintaining compliance with ethics applications and regulations.
Main Duties and Responsibilities
Grant Management and Monitoring
This position will be mainly responsible for the following grants: University Research council grants, Scholarly Work Grants, Conference subsidies, Faculty Grants, and Early Career Grants
- Grant Application Coordination
- Assist in the preparation, submission, and tracking of grant applications, ensuring that all required documents are compiled accurately and submitted within deadlines.
- Grant Activity Monitoring
- Support the tracking of ongoing grant activities, including project milestones, expenditures, and reporting deadlines, and provide regular updates to the Division Head.
- Communication and Collaboration
- Facilitate communication within the grants division team, researchers, collaborators, and other relevant stakeholders, ensuring effective coordination and timely dissemination of information.
Data and Records Management
- Manage the research portal by updating information, posting relevant resources, and ensuring accuracy of approvals, budgets, and outcomes
- Ensure accessibility of data for administrators, researchers, and collaborators, ensuring data integrity and easy retrieval.
- Aid in generating reports on grant activities, budgets, and outcomes, contributing to the Division Head's comprehensive overview of the grants portfolio.
Administrative tasks
- Provide administrative and logistical support to the grants division team, including scheduling meetings, managing calendars, and coordinating team events.
- Process Improvement
- Continuously identify areas for process improvement within grant-related operations, propose solutions, and collaborate with the Division Head to implement streamlined procedures.
- Assist in the orientation and training of new team members, ensuring they are well-versed in grant processes, tools, and procedures.
- Documentation and Archive: Maintain organized digital and physical files, ensuring that all grant-related documentation is properly archived and easily accessible.
Minimum Qualifications
Knowledge, Skills and Abilities
- Strong organizational skills with keen attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in using productivity software (e.g., Microsoft Office suite, project management tools).
- Ability to multitask and prioritize in a fast-paced environment.
- Familiarity with research grant processes and academic institutions (preferred).
- Collaborative attitude with the ability to work effectively within a team.
Education and Experience Requirements:
- Bachelor's degree in a relevant field (e.g., Business Administration, Public Administration, or a related discipline).
