Main Duties & Responsibilities
- Serves as Office Receptionist
- Handles students and visitors’ inquiries.
- Handles incoming & outgoing calls and fax messages.
- Assists in Office Operations
- Coordinates with other departments, and OSCI regarding Soc Sci 13 schedules and other matters.
- Assists in managing various international activities of the DS, such as workshops and public lectures.
- Coordinates with various offices inside and outside the university (Inside: other
departments, programs, administrative offices, central administration offices, etc. Outside: Nongovernment organizations, different institutions, various universities, partner communities, etc) - Assists faculty with Soc Sci 13 room reservation, announcements, duplication of exams, syllabi, handouts, etc.
- Assists the Director during Registration period (Soc Sci 13 signups)
- Assists the Director in preparing Soc Sci 13 course offerings, scheduling, etc.
- Assists the Director in preparing the budget (new equipment requests, major improvement requests, new positions requests, supplies and expenses requests & monthly budget report).
- Responsible for Logistics concerns
- Monitors the availability of office supplies and equipment needed for Soc Sci 13 and other DS internationalization activities. Reports immediate repairs of equipment and other office facilities.
- Maintains cleanliness and orderliness inside the office.
- Responsible for Office Documents
- Processing all incoming and outgoing documents (letters, invitations, school activities, reports, etc.)
- Handles Soc Sci 14 students’ and office files.
- Route correspondence and other important documents to various offices.
- Handles confidential documents of the Director and faculty such as appointment contract, curriculum vitae, application, bio data form, etc.
- Handles practicum matters (preparing endorsement letters, evaluation forms, inquiries for names & addresses of Non government organizations and institutions, etc)
