This project position is critically needed to manage the immediate and urgent expansion of the Reservations, Events, Logistics, and Job Order Requests Office's mandate, effective January 2026. The role is essential to ensure operational coverage, prevent service failure, and maintain high customer satisfaction across the newly centralized and integrated facilities, specifically the external campuses and sports venues.
Overall Purpose of the Position:
Acts as the primary dedicated liaison and reservation specialist for the external campuses such as the Rockwell, Salcedo, and the ASMPH, and all centralized Sports Facilities. The purpose is to immediately offload the core team by managing this expanded geographical and functional scope, ensuring seamless logistical coordination and error-free booking management for all assigned facilities, while also providing essential support and coverage for the main team.
Principal Accountabilities and Deliverables:
- Key Result Area: External Campus Reservations and Logistics
Principal Accountabilities:
- Establish and maintain full operational coverage for all facility bookings and logistics across the Rockwell, Salcedo, and ASMPH campuses.
- Serve as the primary point of contact for external campus stakeholders regarding reservation requests, issues, and logistical needs.
Key Deliverables and Metrics:
- Deliverable: Operational procedures document for external campuses; Weekly facility utilization reports for external sites.
- Metric: 100% resolution of external campus booking conflicts within 24 hours;
- Key Result Area: Centralized Sports Facilities Management
Principal Accountabilities:
- Manage the complex and time-sensitive reservation schedules for all centralized Sports Facilities (e.g., gyms, courts, fields).
- Coordinate with Venue-owner, Athletics, Maintenance, and Security teams to ensure facilities are properly prepared, monitored, and turned over between users.
Key Deliverables and Metrics:
- Deliverable: Error-free, real-time updated reservation calendar for all Sports Facilities
- Key Result Area: Team Support and Operational Coverage
Principal Accountabilities:
- Provide essential support, assistance, and coverage for the four existing Facilities Reservations and Logistics Officers when they are absent, on official leave, or during peak booking periods.
- Cross-train on the core main campus and newly integrated venue procedures to ensure service continuity and operational flexibility.
Key Deliverables and Metrics:
- Deliverable: Weekly report of support activities, including assignments covered and issues resolved for the main campus team.
- Metric: Successful coverage of all urgent main campus requests assigned during the absence of regular officer; Zero backlog of covered requests upon the return of the absent officer.
- Key Result Area: Policy Implementation and Project Review
Principal Accountabilities:
- Ensure strict adherence to the new centralized facility policies and established administrative processing standards.
- Provide comprehensive data on the sustained workload generated by the centralized functions and new venues for the review.
Key Deliverables and Metrics:
- Deliverable: Monthly compliance report detailing adherence to new centralization policies in assigned venues.
- Metric: A detailed 9-month Project Review Report (submitted by end of October 2026) outlining sustained service demand and justification for permanent status.
Minimum Qualifications
Education:
- Bachelor’s Degree in Business Administration, Management, Hospitality, or a related field.
Experience:
- At least 1-2 years of professional experience in logistics coordination, event management, or facility scheduling, preferably within a large institutional or academic setting.
Skills
- Exceptional attention to detail and organizational skills.
- Proficiency in facility scheduling software and Microsoft Office Suite.
- Excellent written and verbal communication skills for effective stakeholder liaison.
- Proven ability to work independently, manage a large geographical scope, and function as a flexible team player when providing coverage.
Special Conditions
- This position is specifically project-based for 17 months to address the urgent, mandated operational expansion (January to May 2026 and FY 2026-2027).
- The officer must be prepared for frequent travel between the main campus and the Rockwell, Salcedo, and ASMPH campuses.
- A formal review will be conducted nine (9) months into the contract to determine the necessity of converting the role to a permanent University position.
