- Role Overview
Chariots Capital Indonesia is seeking a highly organised and proactive Administrative Executive to support the smooth and efficient operation of our
office. This role is integral in ensuring strong administrative processes, seamless coordination across departments, and a professional working
environment.
The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a dynamic, fast-paced setting while maintaining a high
level of accuracy and discretion.
- Key Responsibilities
- Office & Administrative Management
- Oversee day-to-day office administrative operations to ensure efficiency and organisation
- Maintain proper filing systems (both physical and digital), records, and documentation
- Manage office supplies, pantry items, and equipment; monitor inventory and coordinate replenishment
- Ensure all purchases follow company procedures and approval workflows
- Coordination & Communication
- Manage incoming and outgoing correspondence, including emails, calls, and mail handling
- Coordinate meetings, appointments, and calendars, including preparation of meeting materials
- Arrange travel logistics, including flights, accommodation, and itineraries where required
- Documentation & Reporting
- Prepare and format reports, presentations, and internal documents with a high level of accuracy
- Support data entry, tracking, and basic reporting across departments
- Ensure proper documentation and record retention in line with company standards
- HR & Operational Support
- Provide administrative support for HR functions, including onboarding coordination and attendance tracking
- Assist in maintaining employee records and supporting internal communications
- Support company events, staff activities, and internal initiatives when required
- Vendor & Office Management
- Liaise with external vendors, service providers, and building management
- Ensure timely servicing, maintenance, and compliance of office facilities
- Maintain a professional, clean, and well-organised office environment
- General Support
- Provide administrative assistance to management and various departments as needed
- Handle ad hoc tasks and projects assigned by management in a timely and professional manner
Minimum Qualifications
Requirements:
- Bachelor’s degree in Business Administration or a related discipline
- Minimum 3 years of relevant experience in an administrative or office support role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organisational and time management skills
- Excellent written and verbal communication skills
- Fluent in Bahasa Indonesia and proficient in English (both written and spoken)
- High level of professionalism, discretion, and attention to detail
- Ability to work independently and collaboratively
- Preferably able to start work immediately
