Job Description

Document Preparation & Management
•Draft, review, and process NDAs, quotations, invoices, contracts, and procurement documentation in accordance with company policies.
•Ensure all documentation aligns with legal, financial, and operational requirements.
•Maintain an organized repository of business documents and track their status, approvals, and renewals.
•Coordinate with legal, finance, and sales teams to ensure timely completion of agreements.

Business Development & Client Relations Support
•Assist in generating client leads and maintaining contact databases.
•Support the Business Development (BD) team in managing client relationships and follow-ups.
•Help coordinate and execute client engagement activities, ensuring smooth communication and relationship-building.

Event Coordination & Support
•Arrange and coordinate client meetings, business events, and networking activities.
•Assist in the planning, logistics, and execution of corporate events, trade shows, and business forums.
•Work with internal teams to ensure seamless event management and post-event follow-ups.

Administrative & Business Operations Support
•Provide day-to-day administrative support to the business, ensuring smooth operations.
•Assist in data entry, report generation, and maintaining records for internal tracking.
•Liaise with vendors, clients, and internal departments to follow up on pending documentation.
•Manage correspondence related to business agreements and financial transactions.

Project Management Support
•Assist in coordinating business projects by tracking progress, managing deadlines, and ensuring smooth execution.
•Support cross-functional teams by monitoring project timelines, deliverables, and stakeholder communication.
•Prepare project-related reports, summaries, and documentation for management review.
•Identify potential risks in project execution and propose solutions to ensure efficiency.

Compliance & Risk Management
•Ensure that all NDAs and agreements are compliant with company policies and regulatory standards.
•Support the finance team in invoice verification, approval, and tracking for accurate billing and payment processing.
•Maintain confidentiality in handling sensitive business agreements and financial data.

Process Improvement & Coordination
•Identify opportunities to streamline document workflows and approval processes.
•Assist in implementing automation tools or templates to improve efficiency.
•Support internal teams in developing best practices for document handling and administration.

Minimum Qualifications

  • Bachelor’s degree in Business Administration, Finance, Marketing, Project Management, or a related field,
  • 1-3 years of experience in administrative support, business development, sales coordination, or project management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and organizational skills.
  • Ability to multitask, prioritize effectively, and work in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proactive and people-oriented mindset, with a strong ability to build and maintain client relationships.
