The Sales Administrative Associate provides vital support to the sales team by ensuring the timely preparation, submission, and organization of all sales-related documents and records. This role requires attention to detail, strong organizational skills, and the ability to coordinate effectively with internal teams, suppliers, and external partners.
Key Responsibilities:
- Provide administrative and operational support to the sales team.
- Manage and maintain all pre- and post-bid documentation.
- Prepare and organize bid documents in compliance with client and project requirements.
- Compile, review, and submit post-qualification requirements for bids.
- Monitor new opportunities in PhilGEPS and download relevant bid documents.
- Request and consolidate quotations from suppliers.
- Maintain and regularly update databases of customers, suppliers, and partners.
- Track, record, and update the database of on ongoing and completed projects.
- Assist in the preparation of sales reports, presentations, and other required documentation.
- Coordinate with internal teams and external stakeholders to gather necessary documents and information.
- Ensure proper filing, safekeeping, and confidentiality of all sales-related documents.
Minimum Qualifications

Bachelor’s degree in Business Administration, Marketing, Management, or any related field (or equivalent work experience).

Strong organizational and administrative skills with attention to detail.

Proficiency in MS Office applications (Word, Excel, PowerPoint) and familiarity with CRM systems or sales tools.

Excellent written and verbal communication skills.

Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.

Strong interpersonal skills with the ability to work collaboratively across teams.
