- Direct support for AVP – Operations.
- Provides administrative and logistical support requested by The AVP – Operations (may include scheduling, travel arrangements, expense reimbursements, filing,etc.)
- Assist AVP - Operations with tracking strategic initiatives, projects, and activities
- Support the AVP - Operations with minutes for all meetings.
- Support the AVP – Operations, reminders about projects and tasks to complete.
- Work with AVP - Operations in preparing materials for internal and external meetings and presentations
- Draft letters, emails, and other correspondence promptly and accurately.
- General clerical duties include, but are not limited to, copying, meeting materials, mail, and filing
- Manage spreadsheets and databases, and run reports as requested
- Coordinates meeting scheduling, communication, and logistics. May include meal ordering, room setup, and cleanup
- Manages action items and follow-up from operations meetings
- Compile and organize data for various reports, including financial, operational, and performance reports.
- Prepare reports according to established formats and guidelines.
- Verify the accuracy and completeness of data in reports before submission.
- Collaborate with department heads to obtain necessary information for reporting purposes.
- Provide administrative support, including typing, proofreading, and formatting documents.
- Coordinate and schedule departmental meetings, ensuring accurate recording of minutes.
- Act as a point of contact for internal communication within the Operations department.
- Monitor and adhere to reporting deadlines.
- Collaborate with the sales team to support client interactions and event execution.
- Ensure a high level of customer satisfaction by addressing client needs and concerns during events.
- Other duties as assigned.
Minimum Qualifications
- Bachelor's degree in Hospitality, Tourism, or related field.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in MS Office Suite (Excel, Word, Outlook) or similar productivity tools.
- Able to handle confidential information with professionalism.
