Job Description

Role Summary:

The Reconciliation and Fund Administration Manager is responsible for overseeing day to day reconciliation processes, supervising the Reconciliation and Fund Administration Unit, PORTIA administration, and assists the Head of Trust Operations as required.

Main Duties and Responsibilities:

  • Responsible for overseeing daily production, contribution and overall development of direct report/s
  • Checks daily reconciliation of cash and securities positions for all trust accounts and mutual funds
  • Checks daily reconciliation of PORTIA core cash balances and holdings versus fund accounting ledger balances and holdings
  • Checks weekly and monthly reconciliation of securities positions for all trust accounts and mutual funds
  • Checks monthly reconciliation of cash positions held with other settlement banks
  • Checks monthly reconciliation of securities positions held by Unit Investment Trust Funds (UITFs)
  • Monitors resolution and ageing of breaks
  • Checks allocation of monthly and quarterly interest earned from various settlement bank accounts
  • Performs monthly reconciliation of withholding tax payable for all trust accounts
  • Assists the Operations – Accounting Unit in audits
  • Oversees documents custody, ensures all documents are safekept and organized properly. Also ensures that all movements of documents are recorded properly.
  • Maintains static data for PORTIA’s portfolio master file, security master file and transaction master file
  • Maintains import files and import specifications for portfolio, security and transaction in PORTIA
  • Support PORTIA users in report requirements, includes developing reports within PORTIA database
  • Troubleshoot transaction errors encountered by PORTIA users, escalate to vendor support or IT any technical problems
  • Complies with regulatory requirements, company and group policies; maintain compliance awareness

Minimum Qualifications

  • Relevant educational qualifications, preferably in university degree in economics, finance, business, accounting or similar courses
  • At least 5 years of relevant work experience, particularly in reconciliations operations in banking or investments industry
  • CPA is highly preferred
  • Experience in project management, systems migration and implementation (highly preferred)
  • Knowledge of the banking and financial services industries and asset management products
  • Efficient and thorough; strong attention to detail with the ability to multitask and prioritize in a deadline-driven environment; firm commitment on quality and excellence.
  • Excellent interpersonal skills, able to develop relationships with multiple stakeholders throughout an organization
  • Excellent communication skills (both written and verbal)
  • Self-motivated, able to work independently in a relatively unstructured environment
  • Proficiency with MS Office applications particularly MS Excel, PowerPoint and Word, as well as familiarity with trading systems (Bloomberg etc.)
  • Knowledge of accounting and financial concepts, experience with bank accounting and financial statement analysis (highly preferred)
  • Ability to identify and resolve potential issues / problems
  • High level of integrity
