Job Description
Secretary main responsibilities :
- Supporting Director in Charge on scheduling their meetings with internal or external parties, including location, meals, meeting tools and transportation
- Preparing Director in Charge needs, such as ensuring the comfort of the workplace, an adequate office stationary, and etc
- Supporting Director in Charge establishing good relationships with both, internal and external parties, in forms of sending wreaths or bouquet, greeting cards, souvenir, and etc
- Accompany Legal and Learning Management department, in monitoring Director in Charge needs, and make sure the training implementation was on point
- Managing administrations such as :
- Checking the documents that will be signed by Director in Charge, in accordance with applicable regulations
- Processing business trip administrations, such as:
- On Duty Request and Declaration
- Passport and VISA
- Itinerary
- Transportation
- Accomodation and any other necessary documents
- Processing Director in Charge claim request and declarations such as health insurance, membership and entertain
- Managing stationary procurement, printing, and Director in Charge Secretariat routine needs
- Managing files and mailing activities such as signature request, company stamp, and any other attributes
- To support the smoothness of our Director in Charge operational activities.
Minimum Qualifications
Chief in Charge Secretary qualifications are :
- Min. Bachelor's Degree
- Min. 5 years experience as Secretary to Director
- Attention to Detail
- Great Planning & Interpersonal skills
- Good Analysis and decision making skills
