The Executive Assistant shall perform, but not be limited to, the following:
A. Administrative and Office Support
- Manages the AVP’s calendar, including scheduling meetings, appointments, and internal commitments.
- Coordinates meeting logistics such as venue booking, agenda preparation, attendance confirmation, and basic minutes-taking when required.
- Screens, organizes, and prioritizes incoming emails, calls, and correspondence for the AVP’s attention.
- Prepares, formats, and edits routine correspondence, reports, memoranda, and presentations as instructed.
- Maintains organized filing systems for both electronic and physical documents of the AVP’s office.
B. Coordination and Liaison Support
- Serves as the primary coordination point between the AVP and internal departments for scheduling, follow-ups, and document routing.
- Tracks deadlines, action items, and commitments arising from meetings and ensures timely reminders and follow-through.
- Coordinates with HR, Finance, Admin, and other units for requests, approvals, and documentation requiring the AVP’s endorsement.
C. Basic Executive Support Functions
- Assists in preparing simple reports, summaries, and presentation materials for management meetings.
- Conducts basic data gathering and consolidation as assigned (e.g., sales summaries, operational updates, internal reports).
- Handles routine confidential information with professionalism and discretion.
D. Travel and Logistics Support
- Assists in arranging local travel, meetings, and accommodations when necessary.
- Prepares itineraries, meeting schedules, and basic briefing materials for the AVP’s engagements.
E. General Office Management Support
- Maintains office supplies and basic administrative requirements of the AVP’s office.
- Performs other administrative and clerical functions reasonably assigned in support of the AVP’s role.
Minimum Qualifications
Education: Bachelor’s degree in Business Administration, Office Administration, Management, or any related course.
Experience: At least 2–5 years of experience in an administrative assistant, executive assistant, or similar support role.
Skills and Competencies
1. Strong organizational and time-management skills.
2. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
3. Good written and verbal communication skills.
4. High level of professionalism, discretion, and attention to detail.
5. Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
6. Willingness to learn and grow in an executive support role.
