Position Title : General Affairs (GA) Admin
Location : Headquarters, South Jakarta - Indonesia
Employee Type : Full Time
Job Summary :
Experienced in managing General Affairs operations with a focus on driver and fleet coordination. Skilled in scheduling, monitoring vehicle conditions, controlling operational costs, and maintaining accurate administrative records. Adept at managing office logistics, vendor relations, and facility maintenance to ensure smooth daily operations.
Key Responsibilities :
Driver & Fleet Coordination :
- Arrange daily and weekly schedules for drivers based on company operational needs.
- Monitor the availability and condition of company vehicles.
- Assign tasks, routes, and work priorities for drivers.
- Control fuel usage, toll expenses, and other operational vehicle costs.
- Coordinate regular maintenance and repairs (service, insurance claims, vehicle registration renewal).
Administration & Reporting
- Prepare and maintain reports on vehicle usage and operational expenses.
- Keep trip records and driver attendance logs.
- Manage vehicle-related documents (registration, insurance, inspection) and ensure validity.
- Input and update GA administrative data in systems or spreadsheets.
General Affairs Operations
- Manage office logistical needs (stationery, office supplies, drinking water, etc.).
- Handle vendor contracts related to office facilities (cleaning, security, building maintenance).
- Oversee the maintenance of office facilities (AC, electricity, water, furniture).
- Support the execution of internal company events.
Internal & External Coordination
- Communicate with other departments to ensure transportation and facility needs are met.
- Maintain good relationships with transportation vendors, workshops, and other GA-related service
Kualifikasi Minimum
Requirements :
- Strong coordination and communication skills.
- Well-organized, detail-oriented, and able to work under pressure.
- Proficient in Microsoft Office or Google Workspace.
- Knowledge of vehicle maintenance and administration is an advantage.
